Duties and Responsibilities
The Executive Assistant will be responsible for managing a wide range of high-level responsibilities, including:
- Executive & Contract Oversight: Managing external stakeholder communications, monitoring contract timelines, and ensuring compliance.
- High-Touch Relationship Management: Cultivating and maintaining relationships with key clients, partners, and industry memberships.
- Complex Project & Event Coordination: Leading the planning and execution of executive-level meetings, corporate events, and confidential family-related projects.
- Executive Travel & Logistics: Independently managing complex international and domestic travel itineraries, including all associated confidential and personal matters.
By anticipating executive needs, streamlining complex processes, and upholding the highest standards of professionalism and confidentiality, this role directly enables the Managing Director and CEO to focus exclusively on strategic growth, visionary leadership, and company innovation.
ALWAYS ON RESPONSIBILITIES
1.) Stakeholder Management
- Manage and nurture relationships with key industry associations including DMAP, 4As, PRSP, and MSAP.
- Proactively track association activities, announcements, programs, and engagement opportunities.
- Ensure NuWorks maximizes its membership value through timely participation and representation.
- Coordinate schedules, prepare briefing notes, and ensure follow-through on association commitments.
2.) Relationship Management
- Manage and active update Database (NW, EO, Family, Friends)
- Oversee thoughtful and timely relationship gestures, including gifts and flowers for birthdays, condolences, and personal milestones.
- Manage sourcing, procurement, quality assurance, dispatch, and delivery confirmations.
- Maintain a master calendar of important dates to ensure no key occasion is missed.
- Uphold a warm, thoughtful, and personalized approach to relationship care.
3.) Events Management & Seasonal Requirements (Halloween, Christmas, Birthdays)
- Support with planning and coordinating select events / seasonal requirements— internal, external, corporate, or personal.
- Manage logistics, suppliers, guest lists, materials, and timelines.
- Ensure all events reflect NuWorks’ standards of quality, intention, and experience.
- Provide post-event documentation and follow-ups.
4.) Sourcing, Procurement, Staffing
- Organize and actively update database of essential suppliers and manpower needed to manage NW and the household (Gardener, On-call Staff, Waiter, Bartender, Electrician, etc)
- Maintain a pool of candidates for household staff redundancy
PROJECT-BASED RESPONSIBILITIES
1.) Entrepreneurs Organization (EO) Projects
- Handle all EO-related initiatives with strict confidentiality and professionalism.
- Track milestones, requirements, and timelines across EO programs or commitments.
- Provide thoughtful coordination, documentation, and regular updates to the Managing Director and CEO.
2.) Strategic Initiatives
- Lead and support special, high-impact, and often time-sensitive projects including:
- Office space scouting and evaluation
- Personal or corporate research tasks
- Conduct thorough research, consolidate options, provide recommendations, and execute once aligned.
3.) Travel-Related Projects
- Manage domestic and international travel requirements including:
- Visa research and application preparation
- Flight research and bookings
- Hotel and ground transport arrangements
- Curating recommended itineraries
- Ensure all travel plans are smooth, efficient, cost-effective, and aligned with preferences.
